Description Details
Subject matter of the Processing Personal and medical details pertaining to the provision of residential and day care for individuals with learning disabilities and complex needs.
Duration of the Processing We hold the details for the duration of each individual’s placement and for a further three years (as per our statutory obligation) following the transfer or passing of an individual. Financial information is held for 7 years.
Nature and purposes of the processing The holding of personal details including medical and financial in order to process benefits, medical appointments and social work reviews for individuals with complex needs.


The scope includes the collection of information pertaining to an individual’s daily wellbeing, the processing of official documentation (such as from the DWP or funding council), the processing of letters from medical professionals and the processing of any other information pertaining to the care of the individuals in question.


Information is only accessed by staff members in need of the information to perform their duty as care providers and information is only ever disseminated to relevant health and social care agencies and medical professionals via formal agreement when necessary in the interests of client(s) safety, health and wellbeing during the period the client is receiving support and care form the provider, during which access will be restricted to information relevant to the provision of care.

Furthermore we hold basic personal information for our staff for the purposes of HR and Payroll.



The information is held on a password protected server in an office to which only appropriate staff members (home managers and financial administrators) have access.  An offsite encrypted backup which meets IT best practice ISO/IEC 27001:2013 is performed on a daily basis.


Data other than financial data is erased three years after the transfer to another care setting or the passing of an individual.


All processing is done for the purpose of meeting statutory requirements.


Type of Personal Data We hold names, family addresses and telephone numbers, dates of birth, NI numbers, images and information pertaining to benefits of individuals within our care.

Plan for return and destruction of the data once the processing is complete UNLESS requirement under union or member state law to preserve that type of data We are required to hold data for three years for the purposes of safeguarding and statutory care standards.  Financial records are kept for 7 years.
Access to your information and correction You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email or write to us at the following address. We may make a small charge for this service. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
